Company Description ##

With more than 13'000 employees representing 160 professions, the Hôpitaux Universitaires de Genève are a leading institution at national and international levels. To learn more about our institution, take a few minutes to consult our 2025 retrospective by clicking here.

The Département de médecine communautaire et de premier recours (DMCPR) has the societal mission of enabling access to quality care for all through community medicine, ensuring the management of minor medical and surgical emergencies, promoting prevention among citizens, providing medical knowledge to judicial investigations, and promoting the health of travelers.

The Service de médecine de premier recours ensures the outpatient management of adult patients requiring primary care medicine. This service also offers outpatient emergency medicine services to the population. Within the framework of the HUG's missions of general interest, it offers access to care for populations disadvantaged by their age, social, economic, or legal status (asylum seekers, those facing non-entry in matters, undocumented persons, prisoners), or their lifestyle; if necessary, the primary care medicine service also ensures continuity of their care.

Job Description ##

You assist the head of service and their assistant in the administrative management and organization of the service, in the clinical, academic, and research fields, by ensuring the interface between the different professional sectors.

You organize meetings and colloquia using institutional electronic agendas. You prepare, follow up on, and archive files for various service projects, write minutes of meetings, and coordinate the follow-up of decisions made.

While responding to various requests, you successfully and autonomously carry out administrative activities, notably schedule management (VRH), the follow-up and transmission of evaluations as well as staff engagements in connection with service projects. You ensure the proper management of billing and reimbursements for research and training activities, the transmission of congresses and colloquia to the medical staff, or the monitoring of the budget allocated to the service and the head of service's projects.

You demonstrate proactivity in performing logistical tasks arising from the life of a secretariat, such as ordering, drafting correspondence, and requests for engagement, reimbursement, or training.

Within the team, you develop a close link with the service's employees and ensure continuity in the secretariat during absences. More generally, your sense of service makes you an agile and diplomatic person.

Qualifications ##

You hold a CFC as a commercial employee as well as a diploma as a medical secretary or an equivalent title.

Autonomous, you have successful experience in a versatile secretariat.

You have a perfect command of French, both spoken and written, and a proven writing ability. Medical terminology is easily understandable to you. Proficiency in English at level B1 or German is a real asset.

Comfortable with IT, you can justify an ECDL Advanced level for Word or are willing to undergo the training.

Possessing a good team spirit, you have the ability to work in a shared office with several secretaries.

You also have the tools to deal with unforeseen events and thus easily manage stressful situations proactively. Finally, you demonstrate a keen sense of discretion and confidentiality.
