This position is responsible for operational IT purchasing and contract management, from ordering and supplier coordination to the monitoring of contract and license terms. At the same time, it ensures high data quality in the procurement and contract systems and supports the specialist departments with all procurement-related issues.

Job description

• Ensuring operational day-to-day business in IT procurement
• Processing and handling purchase requisitions for hardware, software, and services
• Creation, recording, and tracking of orders, individual contracts, and contract amendments, taking into account internal specifications and in coordination with Legal
• Communication and coordination with suppliers, manufacturers, internal specialist departments, and requirement holders
• Support with contract extensions, renewals, and terminations of maintenance, support, and license agreements
• Monitoring open orders, deliveries, and ongoing pending items
• Advising and supporting internal stakeholders on procurement processes and administrative issues
• Administrative support in procurement and contract management
• Maintenance, cleaning, and further development of the contract management system
• Monitoring of contract, maintenance, support, and license terms as well as ensuring timely measures
• Processing and tracking of extensions, terminations, and renewals of existing contracts
• Ensuring complete, up-to-date, and audit-proof contract documentation
• Maintenance and quality assurance of supplier, contract, and procurement master data
• Cleaning of duplicates and outdated data sets as well as ensuring high data quality
• Creation and maintenance of overviews of orders, contracts, and suppliers
• Documentation of ongoing procurement processes, important contacts, and open pending items
• Support in the onboarding of new employees and ensuring a structured transfer of knowledge

Profile

• Completed commercial or business administration training, ideally with a focus on purchasing, procurement, or economics
• Several years of professional experience in operational purchasing, preferably in an IT environment
• Experience in the procurement of hardware, software, and IT services
• Knowledge in contract and supplier management
• Experience in public procurement or in a regulated environment is an advantage
• Very good German language skills at native level as well as fluent English skills in speaking and writing
• Structured, independent, and precise way of working
• Strong organizational skills as well as high service and customer orientation
• Confident handling of ERP systems as well as common Microsoft Office applications, especially Excel
• Team-oriented personality with high communication skills and a strong sense of responsibility.
